ERP for Shopify: how to choose

Which ERP fits Shopify? What the connector has to handle: the order, inventory, Klarna and returns. Fortnox, Business Central and Visma Net compared.

Charlie Blomkvist 16 min read

Shopify runs the store: the range, the checkout, the payment methods and the customer's experience. The business system (ERP) runs what happens after Pay now: the order, inventory, the invoice, the payout from Klarna and the return. An ERP for Shopify is the system that receives every paid order and does the rest by itself, so the accounting is done when the order is. Accounting software with a Shopify connector posts the day's sales. The ERP takes care of every order.

This is what you get in the guide:

  • Two ways to connect Shopify: accounting per day, or ERP per order, and what the difference means for you.
  • Four things the connector has to handle: the order, inventory, the money and the return.
  • Fortnox, Business Central and Visma Net side by side, with what each connector does and leaves to you.
  • Shopify B2B, POS, several markets and 3PL: what it takes when the store grows.
  • How to test your own flow in a real store before you choose.

Short answer: which ERP fits Shopify?

Accounting software with a Shopify connector is enough when
  • you sell to consumers in Sweden, in SEK, from one warehouse
  • a daily total with Shopify's reports as backup is enough
  • and few people need to work in the system
A business system (ERP) is needed when
  • every order should be in the receivables ledger with its invoice
  • stock should be the same in the store, the warehouse and the books
  • payouts from Klarna and Shopify Payments should be reconciled order by order
  • resellers should order in Shopify B2B with their own prices and terms
  • or you sell in several countries, currencies or companies
Visma Net with Click to Cash when
  • all of that should run in one flow without anyone keying: a paid order becomes a sales order in seconds, stock is mirrored, Klarna is matched order by order, the return becomes a credit note, and you want to see it work in a real store before you say yes

Shopify is the store. The ERP is everything that happens after Pay now.

Two ways to connect Shopify: accounting per day or ERP per order

Almost every Shopify connector does one of two things, and that is the first question to ask.

01The accounting connector

Fetches the day's sales, returns and payouts from Shopify and posts them as one summary entry. Orders, products and stock are not transferred. That is how Fortnox's own Shopify connector works, and it is enough when the books are all you need.

02The ERP connector

Receives every order with customer, lines, VAT and payment method, reserves the goods in stock, sends the shipment back to Shopify, posts the invoice and reconciles the payout against the very orders it paid. That is how Business Central's Shopify Connector and our connector in Click to Cash work.

The difference does not show in the first month. It shows when the auditor wants to see an order in the ledger, when Klarna's payout does not add up to the sales, when something sells on the web that the shop already sold, and when a reseller wants an invoice for their order. Then the daily total is no longer a backup but a puzzle.

Four things an ERP for Shopify has to handle

01The order

Every paid order becomes a sales order with the right customer, account, VAT and subaccount, within seconds, not a daily total. Order changes, partial shipments and cancellations follow.

02Inventory

The ERP counts, Shopify shows. Stock per warehouse goes to the right location in the store, so sold out is sold out in both, even with several warehouses or a 3PL.

03The money

The payment is posted as a prepayment on the order. When Klarna or Shopify Payments pays out, every line in the settlement is matched to its order, the fee and VAT are posted separately, and you approve before the entry is posted.

04The return

A return in Shopify becomes a return order, a stock receipt and a credit note against the original order. The refund is deducted in the next payout and matched to the credit note.

Three more things decide when the store grows: the reseller in Shopify B2B should be posted to their own customer with their prices and credit limit, the order in Shopify POS should become a sales order with the shop's location as warehouse, and the next market and currency should be settings, not a project.

Fortnox, Business Central and Visma Net for Shopify

01Fortnox

Sweden's most common accounting software, with its own Shopify connector that posts sales, returns and Shopify Payments payouts as one entry per day, OSS included. Requires payouts in SEK. Orders, products and stock through a hub from another vendor, and Klarna through a third. Right for the store that sells in SEK from one warehouse. More in Fortnox for e-commerce.

02Business Central

Microsoft's ERP with the Shopify Connector preinstalled: products, prices, stock, customers, B2B companies, orders, shipments and returns sync through the job queue, which Microsoft recommends running every 15 to 30 minutes for inventory. Payouts are fetched for information and reconciled in bank reconciliation, Klarna sits outside the connector, and Swedish localization comes through apps. License per person. More in Business Central and Shopify.

03Visma Net with Click to Cash

Visma's ERP for companies that have outgrown accounting software, with orders, inventory, ledgers, bank, e-invoicing and VAT as standard and an unlimited number of users. Click to Cash adds our own Shopify connector: a paid order becomes a sales order in eight seconds, stock is mirrored every five minutes, Klarna and Shopify Payments are matched order by order, the reseller in Shopify B2B is posted to their own customer. Fixed price, and you test it in our demo store first. More in Connecting Shopify to Visma Net.

The flow in Visma Net with Click to Cash

An order in Shopify
  1. The customer pays in Shopify
  2. Sales order in Visma Net, with customer, lines, VAT and subaccount
  3. Picking with you or your 3PL
  4. Shipment in Shopify
  5. Delivery and invoice
  6. Router · Does the customer return?YesReturn order, stock receipt and credit noteNoKlarna pays out, every line matched to its order

Eight seconds from Pay now to sales order. The payout entry is created on hold, and you release it.

In our demo store Vardag this exact flow runs against our own Visma Net, with the same connector, inventory and accounting you would get. Payment uses test cards. Everything else is real.

When the store grows: B2B, POS, markets and inventory

Shopify B2B. The reseller logs in, sees their prices excluding VAT and orders. The order is posted to their own customer in Visma Net with price list, terms and credit limit from there, and if it passes the credit limit it is stopped before anyone picks. The invoice goes with OCR and as an e-invoice. More in ERP for wholesalers.

Shopify POS. An order at the till becomes a sales order just like an order on the web, with the shop's location as warehouse. Same stock, same books.

Several markets. Each delivery country gets its collective customer, VAT is set by Visma Net, and the next currency and the next company are settings in the same system. The subaccount puts channel, market and collection on every line, so the result per market exists without Excel.

Inventory. Your own warehouse picks in Visma Net. If you run Ongoing WMS, yourselves or at a 3PL, the order goes from Visma Net to the warehouse and the shipment and stock come back. More on Ongoing WMS, Shopify and Visma Net.

Common mistakes when connecting Shopify

01Choosing by the connector's price

The connector is the smallest cost, but count all of them: for Shopify there is often a fee per connector for accounting, orders and inventory, and payment service integration, such as Klarna, with matching and handling of payouts is usually not part of the accounting software at all. In Click to Cash all the connectors are fully included in the fixed price. The hours spent when the payout does not add up, and the order sold without cover, are the big ones.

02Settling for the daily total

It is enough until the auditor, the reseller or Klarna asks about a single order.

03Letting the store count the stock

Shopify should show the stock, not own it. If the store owns it, it does not match the books, and purchasing runs on the wrong numbers.

04Choosing by the vendor's demo

A standard demo shows what the system looks like. A demo built for you, with your products and orders, shows whether it works.

Test the flow before you choose

The only way to know whether an ERP works for your Shopify store is to place an order and follow it. That is why Vardag exists: a Shopify store connected to a real Visma Net. Place an order, watch it become a sales order in eight seconds, follow the shipment, the return and Klarna's payout. And if you want to see it with your own products, prices and markets, we build your own store and your own Visma Net in 3–5 days, after a free pre-study.

Why Straviont

We are a Visma Net partner and built the Shopify connector ourselves. It runs against our own Visma Net every day. Click to Cash is Visma Net set up for e-commerce, with the connector, inventory and payouts, at a fixed price: SEK 95,000, or SEK 135,000 if we also build the Shopify store. Live in one to two months, with the connector tested on your own orders before go-live. If you already have Visma Net, we set the connector up against what you have.

Frequently asked questions

Which ERP fits Shopify?

A system that receives every paid order, keeps the stock, reconciles payouts order by order and posts the return, without manual work. Visma Net does it with our connector in Click to Cash. Business Central does it through Microsoft's Shopify Connector, with payouts and Klarna left for you to reconcile. Fortnox posts the sales per day.

Does a Shopify store need an ERP?

Not at first. A store selling in SEK from one warehouse to consumers manages with accounting software and Shopify's reports. A business system (ERP) is needed when every order should be in the ledger, when stock should match between the store and the books, when Klarna should be reconciled per order, or when resellers, more markets or more companies come in.

How do you post Shopify sales automatically?

Either as a daily total, with an accounting connector that fetches the day's sales, returns and payouts, or per order, with an ERP that turns every order into a sales order and invoice. With Visma Net and Click to Cash, account, VAT and subaccount are set on every line by settings in Visma Net, and the payout from Klarna or Shopify Payments is matched order by order with the fee posted separately.

Does Shopify work with Visma Net?

Yes. Our connector turns a paid order into a sales order in Visma Net in eight seconds, sends stock back every five minutes, turns the return into a credit note and matches payouts order by order. It is included in Click to Cash and is also set up against a Visma Net you already have. The details are in Shopify and Visma Net: how the integration works.

Does Shopify work with Fortnox?

Yes. Fortnox's own connector posts sales, returns and payouts from Shopify and Shopify Payments as one entry per day, OSS included, and requires payouts in SEK. Orders, products and stock are transferred with a hub from another vendor.

Does Shopify work with Business Central?

Yes. The Shopify Connector is preinstalled and syncs products, stock, customers, B2B companies, orders and returns through the job queue. Payouts are fetched for information and reconciled in bank reconciliation, Klarna sits outside the connector, and Swedish localization comes through partner apps.

How is Klarna handled?

In Visma Net with Click to Cash the payment is posted as a prepayment on the order. When Klarna pays out, every line in the settlement is matched to its order, the fee and VAT are posted separately, and the entry is created on hold until you release it. The same model applies to Shopify Payments, Svea, Walley, Swedbank Pay and Stripe.

How often is stock synced between Shopify and the ERP?

In our connector every five minutes, plus right after every shipment and return, per warehouse and location. Microsoft recommends 15 to 30 minutes between inventory syncs in Business Central's job queue.

Does Shopify B2B work with the ERP?

Yes. With Click to Cash the reseller in Shopify B2B is posted to their own customer in Visma Net with price list, terms and credit limit from there. The credit hold stops the order before it is picked, and the invoice goes with OCR and as an e-invoice.

What does an ERP for Shopify cost?

Count the license and the connectors. For Shopify there is often a monthly fee per connector, for accounting and the hub for orders and inventory, and payment service integration, such as Klarna, with matching and handling of payouts is usually not part of the accounting software. Visma Net starts at SEK 2,744 per month with an unlimited number of users. Click to Cash, Visma Net set up with the Shopify connector, inventory and payouts, costs SEK 95,000 at a fixed price, or SEK 135,000 if we also build the store, and the connectors to Shopify, inventory and payment services such as Klarna, with matching of payouts, are fully included, with no fee per connector. The price is set after a free pre-study. What Business Central costs is in What does Business Central cost?.

Can we test before we choose?

Yes. Place an order in Vardag and follow it into Visma Net. After a free pre-study we build your own store and your own Visma Net in 3–5 days, which you get access to and compare with your own orders.
