Connect Shopify to Visma Net: a sales order in 8 seconds

How to connect Shopify to Visma Net: the order becomes a sales order in 8 seconds, stock mirrored, returns and B2B follow, Klarna reconciled. Price, demo store.

Yes. Shopify connects to Visma Net through our own integration, the one we run ourselves. A paid order in Shopify becomes a sales order in Visma Net within seconds, with customer, lines, VAT and payment method. The shipment becomes a shipment and an invoice, the return a return order and a credit note, and the stock balance in Visma Net is mirrored back to the store. The payment sits as a prepayment on the order until Klarna or the checkout provider pays out, and the payout is reconciled against the orders. The integration is part of Click to Cash, and we also set it up against a Visma Net you already have. This page describes what the integration does, what it costs, and how you try it in our demo store before you decide. How it works in detail, with timing gaps, webhooks and VAT to the öre, is in Shopify and Visma Net: how the integration works.

Example 1 · An order on the web
  1. The customer pays in Shopify
  2. Sales order in Visma Net, with customer, lines and VAT
  3. Pick list with you or your 3PL
  4. Shipment in Shopify
  5. Shipment and invoice in Visma Net

Eight seconds from Pay now to sales order, measured in our demo store. Nobody re-keys anything.

Example 2 · The reseller in Shopify B2B
  1. The reseller logs in to the store and sees its prices
  2. Places an order
  3. The order is booked on the reseller's own customer in Visma Net, with its terms
  4. Router · Credit limit sufficient?YesThe order is pickedNoCredit hold until someone releases it

One store for consumers and business customers. The reseller sees its invoices and balance in the store.

Example 3 · The return
  1. The customer returns in Shopify
  2. Return order in Visma Net
  3. The goods come back and are received
  4. Credit note against the original order
  5. Stock corrected in the store

Klarna deducts the refund in the next payout, and the line is matched to the credit note.

Example 4 · The payout
  1. Klarna pays out a lump sum
  2. Every line in the settlement is matched to the prepayment on its order
  3. The fee and VAT are booked separately
  4. The journal entry is created on hold
  5. You release it

The clearing account at zero once the payout is posted. You approve before anything is posted.

Short answer

The integration makes Shopify the store and Visma Net the ERP: items, stock, customers, invoices and accounting live in Visma Net, the checkout and the customer experience in Shopify. Everything that happens to an order in Shopify, from payment to return, is mirrored in Visma Net without manual work, and payouts from the payment providers are reconciled order by order. The integration is included in Click to Cash (in Swedish), our implementation of Visma Net for e-commerce, at a fixed price. If you already run Visma Net, we set it up against what you have. And you can try it in our demo store before you say yes.

What the integration does

In ShopifyIn Visma Net
Paid orderSales order with customer, lines, VAT, discount, shipping and payment method, within seconds
Order edit, removed lineThe sales order mirrors the state of the order, so the edit comes out right without recalculation
Shipment, including partialA shipment that is confirmed and becomes an invoice, one per shipment
Return and refundReturn order, receipt and credit note against the original order, also without a return and for refunded shipping
CancellationThe sales order is cancelled
New product or variantItem with VAT class, attributes and EAN
Stock balanceVisma Net is the source of truth: stock per warehouse is sent to the right Shopify location every five minutes and after every shipment and return
ConsumerA collective customer per delivery country, for example Web customer Sweden
Business customer in Shopify B2BThe reseller's own customer, with price list, terms and credit limit from Visma Net
Order in Shopify POSA sales order just like a web order, with the register's location as the warehouse
Gift cardsSale and redemption with the right VAT handling
Payment at checkoutPrepayment on the sales order with payment method, cash account and payment reference
Klarna payoutOne journal entry per payout, matched order by order, created on hold until you release it

Duplicate protection lives in Visma Net: the customer order number carries the Shopify order id, and the integration looks it up before anything is created. If the same webhook arrives twice, or the integration restarts, the order already exists. And webhooks are a notification, not a guarantee: every fifteen minutes the integration reads Shopify's changed orders itself and queues what is missing.

Why connect Shopify to Visma Net?

01One stock balance

What is sold in the store disappears from the web, and what is sold on the web disappears from the store and the warehouse. Visma Net counts, Shopify shows.

02Accounting is done when the order is

Account, dimension code and VAT are set on every line by settings in Visma Net: channel, collection and market follow along without anyone coding.

03The money adds up

The payout from Klarna or the checkout is matched to exactly the orders it paid for, with the fee and VAT separately. No lump sum, no spreadsheet.

The payment providers

Klarna is the example, but the model applies to every provider at checkout: Shopify Payments, Svea, Walley, Swedbank Pay, Stripe, PayPal, Swish and the payment methods you already have. One clearing account per provider, the fee as a separate cost, and only what actually reaches the bank booked there. The accounts and the journal entry, line by line, are in Booking Klarna and Shopify payouts in Visma Net.

The warehouse: your own, Ongoing or 3PL

If you have your own warehouse, the order is picked in Visma Net. If you run Ongoing WMS, yourselves or at a 3PL, the order goes from Visma Net to the warehouse and the shipment and stock come back, and every Shopify location is mapped to a warehouse in Visma Net. How it fits together is on Ongoing WMS, Shopify and Visma Net (in Swedish).

What you decide, and what is already set up

VAT classes, item classes, collective customers, clearing accounts and the dimension structure are set up in Visma Net when you log in for the first time. That is part of Click to Cash. If you already run Visma Net, we start from your settings and change only what the flow needs. What you decide is what the business looks like, and we do that in the workshop:

  • The markets. Which countries and currencies the store sells in, and whether resellers should buy in Shopify B2B or carry on as today.
  • The warehouse. Your own, Ongoing WMS or a 3PL, and which Shopify locations sell from which warehouse.
  • The payment providers. The ones you have at checkout today. You keep them, and each one gets its own clearing account.
  • The follow-up. What you want to see in the P&L: by channel, collection, market or store. That becomes the dimension structure, set on every line without anyone coding it.
  • Who approves. Who releases the Klarna journal entry, and who gets the alert when a webhook fails to arrive.
  • The start. The date the integration starts counting from, and a go-live outside your peaks. Orders before that are never touched.

The answers become the flow map: your flow drawn step by step, yours to keep whatever you choose, and the price set before you say yes.

What it costs and how long it takes

The integration is included in Click to Cash (in Swedish), our implementation of Visma Net for e-commerce: SEK 95,000 at a fixed price, live in one to two months, with the web shop, inventory and payouts connected and tested on your own orders before go-live. If you have no web shop yet, we build it in Shopify, SEK 135,000 in total. The Visma Net license is signed separately, from SEK 2,744 a month with unlimited users.

If you already run Visma Net, we connect Shopify to what you have: the same integration, set up against your items, customers, warehouses and dimension structure. We go through the flow in the workshop and set the price there, fixed before you say yes, and test on your own orders before launch. Visma's catalog also has ready-made Shopify connectors with their own monthly fee; if an existing connector does the job, we keep it.

Frequently asked questions

Does Visma Net work with Shopify?

Yes. Our integration turns a paid Shopify order into a sales order in Visma Net within seconds, mirrors stock back to the store, follows shipments, returns and resellers, and reconciles payouts order by order. Ready-made connectors are also available in Visma's catalog.

What does a Shopify integration with Visma Net cost?

Ours is included in Click to Cash, SEK 95,000 at a fixed price for the whole implementation of Visma Net for e-commerce, or SEK 135,000 if we also build the web shop. If you already run Visma Net, the price is set in the workshop, fixed before you say yes. The connectors in Visma's catalog charge their own monthly fee. The Visma Net license is signed separately, from SEK 2,744 a month.

We already run Visma Net. Can you connect Shopify to it?

Yes. The same integration, set up against your existing items, customers, warehouses and dimension structure. We go through the flow in the workshop, set a fixed price before you say yes and test on your own orders before launch. If you already have a connector from Visma's catalog that does the job, we keep it.

How long does it take to connect Shopify to Visma Net?

Click to Cash takes one to two months from workshop to go-live. The integration itself is set up and tested on your own orders before launch, so VAT, shipments and returns are verified on real data.

What is synchronized between Shopify and Visma Net?

Orders, order edits, shipments and partial shipments, returns and refunds, cancellations, new products and variants, stock per location, customers and resellers, gift cards, payments as prepayments and Klarna payouts as journal entries.

Does every Shopify order become an invoice in Visma Net?

The order becomes a sales order. The invoice is created when the shipment is confirmed, so an order shipped in parts becomes several invoices. The payment sits as a prepayment on the sales order until then and is applied to the invoice.

Does Shopify B2B work with Visma Net?

Yes. Business customers' orders are booked on their own customer in Visma Net, with price list, terms and credit limit from there, and the reseller can see its invoices and balance in the store. The credit hold stops the next order before it is picked.

Does Shopify POS work with Visma Net?

Yes. An order at the register becomes a sales order just like a web order, and the register's location in Shopify is a warehouse in Visma Net, so the store and the web count on the same stock. If you have another register with an API, we connect it the same way.

How often is stock updated in Shopify?

Every five minutes, and right after every shipment and return. Visma Net is the source of truth for stock, per warehouse and per Shopify location.

Do Klarna and other payment providers work?

The payment is registered as a prepayment with a payment reference regardless of payment method. Klarna payouts are matched order by order and become a journal entry you release. Shopify Payments, Svea, Walley, Swedbank Pay, Stripe, PayPal and Swish follow the same model.

Do WooCommerce, Centra and Norce work too?

Yes, the same flow. Shopify is what we show in the demo store, but Click to Cash also connects WooCommerce, Centra, Norce and several others, through the API.

Can we keep a connector we already have?

Yes. If an existing connector in Visma's catalog does the job, we keep it. Our own is used when the flow needs something it does not do: the payout matched order by order with approval, resellers on their own customer, or several warehouses mapped to Shopify locations.

Can we have several stores or markets?

Yes. Every store and market in Shopify gets its own collective customer, VAT zone and warehouse in Visma Net, and the next country is a setting, not a project.

Next steps

Place an order in our demo store and watch it land in Visma Net. The whole offer, with inventory, agents and pricing, is on Click to Cash (in Swedish). The technology behind the integration is in Shopify and Visma Net: how the integration works, and the payouts in Booking Klarna and Shopify payouts.
