A wholesaler sells to businesses: stores, resellers, installers, restaurants. Every customer has their own price list, terms and credit limit, often orders the same thing again, and pays by invoice. It is a different flow from the e-commerce checkout, and it makes different demands on the ERP: the receivables ledger, the inventory and the invoice are the core, and the web is one more order channel, not a store. This guide covers what a wholesaler needs, where accounting software runs out, and how we set up Visma Net with Click to Cash so the reseller orders on the web and everything else runs by itself.
Short answer: which ERP suits a wholesaler?
- you have few customers, one price list, one warehouse and take orders by phone and email
- and it is fine to write the invoice by hand from the order
- every customer should have their own price list, terms and credit limit that the system enforces
- stock sits in several places or at a 3PL
- purchasing should be driven by what has sold
- the invoice should go as an e-invoice with an OCR reference and be matched automatically when paid
- or resellers should order on the web themselves
- all of that should run in one flow: the reseller orders in the store, the order is booked on their customer in Visma Net, the warehouse picks, the invoice goes out and the payment is matched, without anyone typing, and with unlimited users
A wholesaler's ERP is not about the checkout. It is about the customer, the inventory and the invoice.
What a wholesaler needs from the ERP
Price list, discounts, payment terms and credit limit per customer. The system should enforce them, not the sales rep.
The same customer orders the same things, often. The order should be quick to place, preferably by the customer, and always at the right price.
Several locations, stock per bin, reservation at order, partial delivery and backorders. And an inventory value that agrees with the books.
Reorder points, purchase proposals from sales, the vendor invoice matched to the purchase order.
OCR reference, e-invoice to the customers who require it, reminders, and the payment matched to the invoice without manual work.
Margin per customer, customer group, product group and sales rep, without Excel.
It is six things, and they are connected. The credit limit is meaningless if the order is not stopped. The purchase proposal is meaningless if the stock is wrong. That is why wholesalers outgrow accounting software earlier than online retailers: not because they sell more, but because every order has more conditions.
Visma Net: the customer, the inventory and the invoice out of the box
Visma Net is Visma's ERP for companies that have outgrown accounting software, and it is built for exactly this flow. The customer card has price list, discount groups, payment terms and credit limit. The sales order reserves the item, supports partial delivery and backorders, and becomes a shipment and an invoice. Inventory has several locations and bins, is valued per item class and posted when the transaction is released, so the inventory value agrees with the books. The purchase order is matched to the vendor invoice. The invoice gets an OCR reference out of the box, goes as an e-invoice through AutoInvoice, and the payment is matched on the OCR reference through AutoPay. Approvals follow your own rules, and the number of users and approvers is unlimited.
The subaccount puts customer, customer group, product group and sales rep on every line, so the margin per dimension is in Visma Net without anyone building it in Excel. The full logistics picture is on Logistics in Visma Net.
The reseller orders themselves: Click to Cash for B2B
The web is what we add with Click to Cash: a store in Shopify, or your own, connected to Visma Net so the reseller signs in, sees their prices, orders, and then the rest happens by itself.
- Signs in, sees their prices
- Places an order
- Booked on their customer in Visma Net
- Router · Credit limit sufficient?YesPicked, shipped and invoiced with OCRNoStopped before picking, the rep is told
- Payment matched on OCR
The price list, terms and credit limit live in Visma Net. The store shows them. Nobody types the order.
In our demo store Vardag the reseller is Kvarteret Store. It signs in, sees prices excluding VAT from its price list, orders twelve Kaffe Morgon with "Reorder the same as last time", and gets an invoice on 30 days with an OCR reference. In Visma Net it is customer 11209 with its credit limit, and the invoice goes as an e-invoice. You can try it yourself (in Swedish).
Inventory: own, several, or at a 3PL
The wholesaler often has more inventory than the online retailer, and more often in several places. Visma Net keeps stock per location and bin, and Click to Cash mirrors it to the store every five minutes and right after every shipment and return. If the warehouse should scan, batch-pick and book freight at the packing station, we set up Ongoing WMS in the same flow, in your own warehouse or at your 3PL. The order goes into Visma Net first, so the credit hold, prices and terms apply before anyone picks. Read Ongoing WMS, Shopify and Visma Net (in Swedish).
The wholesaler compared: accounting software or ERP
Automation: what runs by itself
The order, the shipment, the invoice and the payment move without anyone touching them. The rest is proposed by the agents: purchase orders from sales and reorder points, coding of vendor invoices, matching of bank transactions. A person on your side always approves before anything is posted, and you see who approved what and when. With unlimited users, the person who approves can be in the system without the license growing.
Why Straviont
We are a Visma Net partner and built Click to Cash ourselves. The pre-study is free and covers your customers, your inventory and your invoices. After it we build your own store connected to your own Visma Net in 3 to 5 days, with your items and your price lists, so you see a reseller order before you decide. The price is set on the flow map and does not change afterwards.
Frequently asked questions
Which ERP suits a wholesaler?
A system where the customer, the inventory and the invoice are the core: price list and credit limit per customer, several locations, OCR and e-invoicing, purchasing from sales. Visma Net has it out of the box, and with Click to Cash the reseller orders on the web themselves.
Can resellers order on the web themselves with Visma Net?
Yes. With Click to Cash the reseller signs in to Shopify B2B, sees their prices and orders. The order is booked on their own customer in Visma Net with price list, terms and credit limit from there, and the credit hold stops the next order before it is picked.
How does the credit limit work?
The credit limit is set on the customer in Visma Net. When an order would exceed it, the order is stopped before it is picked, and the sales rep is told. When the invoice is paid, the order is released. All without anyone checking by hand.
Do e-invoicing and OCR work in Visma Net?
Yes, out of the box. The OCR reference is calculated on the invoice, the e-invoice goes through AutoInvoice to the customers who require it, and the payment is matched on the OCR reference through AutoPay when it arrives.
Can we have several warehouses?
Yes. Visma Net keeps stock per location and bin, with reservation, partial delivery and backorders. If the warehouse should scan and batch-pick, we set up Ongoing WMS in the same flow, your own or at a 3PL.
How is purchasing handled?
The purchase order in Visma Net is matched to the vendor invoice. The agent proposes purchase orders from sales and reorder points, and you approve before they are sent.
What does it cost?
Visma Net starts at SEK 2,744 a month with unlimited users. Click to Cash, Visma Net set up with the integration to the store, inventory and the invoice flow, costs SEK 95,000 at a fixed price, or SEK 135,000 if we also build the store in Shopify. The price is set after a free pre-study.
We also sell to consumers. Does that work in the same system?
Yes. The same store can have a checkout for consumers and a sign-in for resellers. The consumer's order is booked on a collective customer per market, the reseller's on their own customer, and the inventory is the same.
How long does it take?
One to two months from pre-study to go-live, with the integration tested on your own orders before launch. Items, customers, price lists and stock balances are converted, and included in the price.
