monday CRM vs Pipedrive: simple pipeline or the whole customer journey?

Pipedrive is built by salespeople for salespeople and hard to beat on pure pipeline management. monday CRM picks up where Pipedrive stops. Here is how to know which you need.

Pipedrive and monday CRM resemble each other more than most CRM systems do. Both are visual, both are quick to get started with, and both are sold on the promise that salespeople will actually use them. The difference lies in what happens around the pipeline. Pipedrive is a pure sales tool. monday CRM is the sales part of a platform for the whole business. We are a monday.com partner, so take our conclusion for what it is, but the comparison is written to hold up even if you end up choosing Pipedrive.

Short answer

Choose Pipedrive if you are a small sales team that wants a clear pipeline up and running today, with no minimum number of users and nothing to build. Choose monday CRM if sales needs to connect with delivery, projects and reporting, or if you are already noticing that a pure pipeline tool is not enough.

Pipedrive's strength: nothing gets in the way

Pipedrive does one thing and does it very well. The pipeline is clear, activities drive salespeople forward, and you can be up and running the same day. There is no minimum number of users, which makes it a natural first CRM for a solo salesperson or a team of two.

The limitation comes with growth. The most common criticism in reviews is that Pipedrive becomes too simple when the team needs more than deal tracking, that reports are hard to customize, and that the add-ons drive up the real cost.

monday CRM's strength: what happens around the pipeline

monday CRM has the same visual pipeline but is built on a platform where everything else fits too. That shows in three situations.

Handoff to delivery. A won deal creates a project with the right scope, contacts and start date. No one writes a handoff email, and nothing gets lost.

Customization. Stages, fields, views and automations are shaped around your process, not the other way around. You can have different pipelines for new business, upsell and renewals, with different rules.

Management's view. Pipeline, forecast, utilization and delivery status can be seen in the same dashboard, since the data lives in the same system.

On top of that come AI features that work across the whole platform: the Sidekick assistant, AI blocks that categorize and summarize directly in the columns, and agents for lead research and meeting preparation, among other things.

When Pipedrive is enough and when it is not

Pipedrive is enough if sales is transactional, delivery is simple and the reporting need is pipeline and activity. The signs that you have outgrown it tend to be the same: salespeople keep parallel spreadsheets, the handoff to delivery happens by email, management gets its report by someone exporting and compiling data, and the cost has crept up with every add-on.

Connection to the finance system

Pipedrive has a third-party app for Fortnox (the Swedish cloud accounting system) in its marketplace. For Visma, we find apps for the Danish and Finnish products, but none for Visma Net. monday CRM has no ready-made connection from monday.com. We build the connection to Visma Net, tailored to your flows, and describe the setup in monday.com and Visma Net: how they fit together.

Partner support and custom apps

monday.com is a global platform, but you are not on your own with it. As a certified monday.com partner, we provide hands-on support: implementation, training, ongoing management and a contact person who knows your particular setup. You make the everyday changes yourselves. The bigger steps we take together, and that is where a partner who knows both the platform and your business makes the biggest difference.

When the standard features are not enough, we develop custom apps and integrations on the monday.com platform. It could be a quote calculator with your pricing logic, a customer portal or a connection to an industry system. A need that monday.com does not solve out of the box is therefore rarely a reason to rule out the platform. Read more about how we build custom systems.

Frequently asked questions

Is Pipedrive or monday CRM best for a small sales team?

For one or two salespeople, Pipedrive is simplest, since it has no minimum number of users. From three users and up, especially if you also run projects or deliveries, monday CRM gives more value for the money.

Is monday CRM harder to use than Pipedrive?

The pipeline is just as simple. The difference is that monday CRM needs to be set up around your process, which takes a little more time at the start but gives you a system that fits better over time.

Can you move from Pipedrive to monday CRM?

Yes, and it is one of the easiest migrations. Organizations, people, deals and activities have a clear structure that can be mapped straight across.

Is there hands-on support for monday CRM?

Yes. monday.com has global support, and as a certified partner we provide hands-on support with implementation, training and ongoing management. You get a contact person who knows your setup.

What does it cost in practice?

Both are priced per user per month with public price lists. Include Pipedrive's add-ons if you need email campaigns, visitor tracking or document management, and compare against the monday CRM tier where the equivalent is included.
