Switching from Visma Administration to Visma Net

How to switch from Visma Administration 500, 1000 or 2000 to Visma Net: backup, exporting registers and SIE4, unpaid invoices and what happens to the program.

Visma Administration, the installed accounting program widely used by Swedish small and mid-sized companies, has handled the books in many growing companies for years, installed on their own server or computer. Sooner or later the company wants the system in the cloud, with more companies, integrations and a warehouse that is connected to finance. This guide is about the switch itself to Visma Net: what you take out of Visma Administration, how it gets into Visma Net and what happens to the program afterward. Short answer: how do you switch from Visma Administration to Visma Net?

  1. Decide the start date and how you want to follow up in Visma Net before anything moves.
  2. Print and approve all journals in Visma Administration, so the accounting and the ledgers add up.
  3. Take a backup of the company, and export the accounting as SIE4.
  4. Import master data, opening balances and unpaid invoices into Visma Net.
  5. Keep the archive: the installation file, the backup, the accounting as SIE4 and the reports as files, so it can be read for seven years.

The cloud version of Visma Administration

Spiris, which publishes Visma Administration today, plans a cloud version of Visma Administration 2000 during 2026. As of September 30, 2026 it has not launched, and there is no cloud version for 500 and 1000. According to Spiris, the upcoming cloud version will not have an API at launch; that will come later.

The installed program remains and is maintained, according to Spiris. So the question for a growing company is rarely whether Visma Administration will stop working, but whether it is enough for what the company is becoming: more companies, rule-based approvals, more dimensions to follow up and integrations.

Before the backup is taken, all journals must be printed and approved. If the company has access control, under File → Users → Users, it needs to be turned off or the login handed over, otherwise the company cannot be opened from the backup.

The hardest part to move is the documents: invoice images with item lines, templates and quotes. They stay in Visma Administration, which is why it is important that the program can still be opened after the switch.

How it gets into Visma Net

01Master data

Chart of accounts, customers, suppliers and items are cleaned and converted with Straviont Cloud Bridge, so duplicates and broken references stay in Visma Administration.

02Opening balances

Balances are imported as of the period before the start, for example as of December 31 if you start in January.

03Unpaid invoices

Imported as open items, posted against a transition account so they are not posted twice. Payments are then matched against them.

04History

We help with the SIE import (SIE is the Swedish standard file format for accounting data), so the history comes along. If you switch mid-year, we import what you have done in earlier periods in Visma Administration.

You can start in Visma Net at a year-end or mid-year, since Visma Net supports both. Choose a date when the latest period is posted and VAT-reported, and export unpaid invoices as of the day before the start, the same day as the opening balances.

The subaccount, that is, how you follow up by cost center, project or department, is something we set up together before you start. It sits on every posted line and drives approvals and reports.

The program after the switch

Once the service agreement has ended, the program keeps working in the version you have, but it can no longer be downloaded. So install the latest version before the agreement ends, and keep the installation file and the last backup. The Swedish Bookkeeping Act requires accounting records to be readable for seven years, and that also means keeping a computer that can run the program, with Windows and SQL Server Express. So also export the accounting as SIE4 and the reports as files.

How do you switch from Visma Administration to Visma Net?

How do you export the customer and supplier registers from Visma Administration?

Registers such as customers, suppliers and items can be exported directly from the list view in Visma Administration: right-click and choose Copy/export table content and Export to file. The simplest approach for a switch, though, is a backup of the whole company, via File, Backup and Active company.

Is Visma Administration 2000 available in the cloud?

Not as Spiris's own service yet. Spiris plans a cloud version of Visma Administration 2000 during 2026, but as of September 30, 2026 it has not launched, and there is no cloud version for 500 and 1000. The installed program can, however, be run at a hosting provider, via remote desktop.

What happens to Visma Administration once we have switched?

Should we switch from Visma Administration to Fortnox, Spiris or Visma Net?

Fortnox and Spiris Bokföring & Fakturering, both cloud accounting programs for small companies, suit the smaller company with simple flows, and Bokföring & Fakturering is Spiris's own path to the cloud for 500 and 1000. If you use orders and inventory, have several people working in the program or need to follow up by project and cost center, Visma Net is the next step: a cloud ERP with unlimited users.

Do unpaid invoices come along to Visma Net?
