monday.com and Teamtailor: how the integration works

How to connect monday.com to Teamtailor: hired candidates become onboarding, approved hiring needs become jobs, and HR and managers see the same thing.

Eddie Blomkvist 10 min read

Yes, monday.com can be connected to Teamtailor, the Swedish recruitment software (applicant tracking system) used by many Nordic companies. The integration turns a candidate hired in Teamtailor into an onboarding project in monday.com with name, role, start date and manager in place, turns a hiring need approved in monday.com into a job in Teamtailor, and lets hiring managers see the status of their recruitments without needing their own Teamtailor login. monday.com has no Teamtailor integration of its own, so the integration is built in an integration platform like Make, around how your company actually works. This article covers what the integration does, how it is built and what to decide before you get started.

Example 1 · Hire becomes onboarding
  1. The candidate is moved to the Hired stage in Teamtailor
  2. Router · Is there an onboarding project for the role?YesThe project is created from the role's templateNoThe project is created from the standard template
  3. Tasks for IT, HR and the manager with dates counted from the start date

Computer, accounts, contract and the first week's schedule become tasks with an owner and due date the same day the candidate accepts. Nobody has to email around.

Example 2 · Hiring need becomes job
  1. The manager adds a hiring need to the HR board in monday.com
  2. The need is approved by leadership
  3. The job is created as a draft in Teamtailor with title, department and location

The decision to hire is made where leadership works, and HR gets a ready draft in Teamtailor to finish and publish.

Example 3 · Status for the manager
  1. A candidate changes stage in Teamtailor
  2. The number of candidates per stage is updated on the recruitment's row in monday.com
  3. The manager sees how many are in interviews without logging in to Teamtailor

Hiring managers follow their recruitments in the same view as their projects, and HR no longer has to send status reports.

Example 4 · Closing and follow-up
  1. The recruitment is closed in Teamtailor
  2. The row in monday.com is marked filled with time to hire
  3. Follow-ups after three and six months are added as tasks for the manager

Every recruitment gets a follow-up, and HR sees how long recruitments take and how many people stay.

The flows above are only examples of how it can work. Every integration is built around your process: which steps it should include, what should happen in each situation and who is responsible for what.

Short answer

There is no button that connects monday.com and Teamtailor, and monday.com has no Teamtailor integration of its own in the Integrations Center. The integration is built in Make or Zapier, or with custom code against Teamtailor's API. Zapier has a Teamtailor app, and in Make there are Teamtailor apps maintained by the community rather than by Make, so there we often build directly against Teamtailor's API using Make's HTTP module. Teamtailor's API requires an API key created by a company admin, and real-time events require webhooks to be enabled in Teamtailor.

What the integration can do

Here are four common examples. Your integration can do more, less or something entirely different, depending on how you work.

01Onboarding from the hire

When a candidate is moved to the Hired stage in Teamtailor, an onboarding project is created in monday.com from the role's template, with name, role, start date and manager. The tasks for IT, HR and the manager get dates counted from the start date.

02Hiring need becomes job

A hiring need approved in monday.com becomes a job draft in Teamtailor with title, department and location. HR finishes and publishes it, and the decision is traceable from need to job ad.

03Status per recruitment

The number of candidates per stage and the time since the last activity are mirrored to one row per recruitment in monday.com. Hiring managers see the status without their own Teamtailor login.

04Follow-up after start

When the recruitment is closed, the manager gets follow-up tasks after one, three and six months, and HR sees time to hire and how many people stay.

Why connect monday.com and Teamtailor?

  • Onboarding starts the same day the candidate accepts. Computer, accounts and contract become tasks with an owner right away, not after an email that gets stuck.
  • The decision and the job ad are connected. Hiring needs are approved where leadership works, and the job in Teamtailor is created from the decision.
  • Managers avoid yet another system. They follow their recruitments in monday.com, where they already follow their projects, and HR no longer has to send status reports.
  • Fewer people need to see candidate data. What is mirrored to monday.com is counts and status, not resumes, so candidates' details stay in Teamtailor.

How the integration is built

There are three options, and the right one depends on how advanced the flow is.

OptionBest whenKeep in mind
ZapierA simple one-way flow, for example every new hire creating an item on a boardQuick to get started with Zapier's Teamtailor app, but limited when the flow needs to pick a template, calculate dates or work in both directions
MakeFlows with conditions, multiple steps and both directions, for example onboarding from the role's template and jobs in Teamtailor from approved needsPowerful and flexible. The Teamtailor apps in Make are maintained by the community, so we often build against Teamtailor's API with the HTTP module to own the whole flow
Custom code against Teamtailor's APILarge volumes or custom logic requirements, for example custom career pages or reporting across several companiesMost flexible, but requires someone to own and maintain the code, the API key and the webhook subscriptions

For most companies, Make is the right option, but the platform is just the tool. What determines whether the integration holds up is how it is built: how Teamtailor's stages map to statuses in monday.com, how the onboarding template is chosen by role and department, how dates are counted from the start date, and what happens when something goes wrong. It also matters what should not be transferred. Candidate details are personal data, and an integration that copies resumes and notes to a board many people can see is a problem in itself. That is why we mirror counts and status, not content, and build with logging and alerts from the start.

What to decide before you build

An integration is never better than the process it automates. These questions determine whether it works in practice:

  1. Which stage in Teamtailor triggers onboarding? Hired is the most common, but some companies want to start as soon as the contract is signed. Decide exactly which stage, and what happens if the candidate is moved back.
  2. Which details are allowed to leave Teamtailor? Name, role, start date and manager are needed for onboarding. Resumes, interview notes and assessments should stay in Teamtailor.
  3. How is the onboarding template chosen? By role, by department or by location. Decide who owns the templates in monday.com.
  4. Who owns the job in Teamtailor? Is it created as a draft that HR finishes, or published directly? A draft is almost always right.
  5. What happens when something goes wrong? A good flow logs every run and flags when an onboarding project could not be created, instead of silently skipping it.

Teamtailor for recruiting, monday.com for the rest of HR

Teamtailor is built for recruiting: career site, job ads, candidates and interviews. What happens before and after, hiring needs that need approval, onboarding that needs coordinating between IT, HR and the manager, and follow-up with the new hire, is something many companies lack a system for and solve with email and spreadsheets. That is where the integration makes a difference. The HR processes are built in monday work management, employees' questions and requests to HR and IT in monday service, and Teamtailor remains the place where the candidates live. Since candidate details are personal data, it is worth reading Is monday.com GDPR compliant? before you decide what should be mirrored.

Frequently asked questions

Can monday.com be connected to Teamtailor?

Yes. monday.com and Teamtailor are connected through an integration platform like Make or Zapier, or through custom code against Teamtailor's API. monday.com has no Teamtailor integration of its own. The integration can create onboarding projects when candidates are hired, create jobs from approved needs and mirror the status per recruitment.

Can a hire in Teamtailor create an onboarding project in monday.com?

Yes. When the candidate is moved to the stage you have chosen, the integration creates an onboarding project from the role's template, with name, role, start date and manager, and the tasks get dates counted from the start date.

Can monday.com create jobs in Teamtailor?

Yes. Teamtailor's API allows jobs to be created, so an approved hiring need in monday.com can become a job draft in Teamtailor with title, department and location for HR to finish.

Do candidates' details have to be transferred to monday.com?

No, and as a rule they should not be. For onboarding, name, role, start date and manager are enough. Resumes, notes and assessments stay in Teamtailor.

What do we need in Teamtailor to connect the systems?

An API key created by a company admin under the integration settings, with read or write permission depending on what the integration should do. For real-time events, webhooks are enabled in Teamtailor; otherwise the integration retrieves changes at regular intervals.

Should we choose Make or Zapier?

Zapier is enough for a simple flow where every hire becomes an item. Make is the better fit when the flow should pick a template by role, calculate dates, work in both directions and log what happened, which applies to most onboarding flows.

Next steps

Start by describing the flow from hiring need to completed onboarding: who approves, which stage in Teamtailor starts onboarding and which details are needed. From there, building it goes quickly.
