monday.com and Stripe: how the integration works

How to connect monday.com to Stripe: payments and subscriptions show on the customer, failed payments become tasks and new customers land in the CRM.

Isak Blomkvist 9 min read

Yes, monday.com can be connected to Stripe. The integration makes payments, subscriptions and refunds in Stripe show up on the right customer in monday.com, turns failed payments into a task for whoever owns the customer and sets up new customers who pay through Stripe in the CRM without manual work. It can also run the other way, so a won deal in monday.com creates the customer and the invoice in Stripe. monday.com has its own Stripe integration for bringing in payment events, and more advanced flows are built in Make. This article covers what the integration does, how it is built and what to consider before you get started.

Example 1 · New paying customer
  1. The customer pays through Stripe
  2. Router · Does the customer exist in monday CRM?YesThe payment is added to the customerNoThe customer is created in the CRM
  3. Status paying customer in monday.com

The integration matches on email or customer number. The sales rep sees right away that a lead has become a customer, without anyone having to move details by hand.

Example 2 · Failed payment
  1. The subscription payment fails in Stripe
  2. Task for the account manager in monday.com
  3. Router · Paid within a week?YesThe task is closedNoStatus churn risk

Whoever owns the customer learns about the problem the same day and can reach out before the subscription is canceled.

Example 3 · Invoice from the deal
  1. The deal is won in monday CRM
  2. The customer is created in Stripe if missing
  3. The invoice is created and sent from Stripe
  4. Payment status is written back to the deal

The sales rep works in monday.com all the way. The customer gets an invoice with card payment, and the rep sees when it is paid.

Example 4 · Refund
  1. The refund is registered in Stripe
  2. The amount is deducted on the customer in monday.com
  3. Task for the account manager to follow up on the reason

Refunds are often a sign of dissatisfaction. The integration makes sure they are followed up instead of just being booked.

The flows above are only examples of how it can work. Every integration is built around your process: which steps it should include, what should happen in each situation and who is responsible for what.

Short answer

monday.com has a built-in Stripe integration in the Integrations Center. It brings in payment events from Stripe and creates items on a board, for example one item per completed payment, and it is connected with an API key from your Stripe account. That is enough to see payments in monday.com. If you want to match payments to existing customers, act on failed payments or create customers and invoices in Stripe from monday.com, the integration is built in Make, whose Stripe app can listen for events in Stripe and create customers, invoices and refunds. Zapier handles simpler one-way flows.

What the integration can do

Here are four common examples. Your integration can do more, less or something entirely different, depending on how you work.

01Payments on the right customer

Every payment, subscription renewal and refund in Stripe is added to the right customer in monday.com. Sales reps and account managers see the payment history where they work.

02Failed payments become tasks

When a card payment fails, a task is created for whoever owns the customer, so the problem is caught before the subscription is canceled.

03New customers in the CRM

Customers who pay through Stripe without first being a lead are set up in monday CRM automatically, with email, amount and what they bought.

04Customer and invoice from the deal

A won deal in monday.com can create the customer in Stripe and send an invoice with card payment, and the payment status is written back to the deal.

Why connect monday.com and Stripe?

  • Sales sees the revenue. Whoever owns the customer sees what the customer has paid, without asking finance or logging in to Stripe.
  • Faster response. Failed payments and refunds become tasks the same day, not something discovered in the monthly report.
  • Less duplicate work. Customer details are entered once, whether the customer came through a sales rep or through the website.
  • The whole customer picture in one place. Leads, deals, payments and tickets are gathered in monday.com instead of in three systems.

How the integration is built

There are three options, and the right one depends on how advanced the flow is.

OptionBest whenKeep in mind
monday.com's own Stripe integrationYou want to see payment events from Stripe as items on a boardBrings events into monday.com, but does not match against existing customers and creates nothing in Stripe
Make or ZapierFlows with conditions and both directions, for example matching against customers, tasks on failed payments and invoices from the dealMake's Stripe app listens for events in Stripe and has modules for customers, invoices, payments and refunds. Zapier is enough for simple one-way flows
Custom code against Stripe's APILarge volumes or real-time webhook requirements with custom logicMost flexible, but requires someone to own and maintain the code

For most companies, Make is the right option, but the platform is just the tool. What determines whether the integration holds up is how it is built: how customers in Stripe are matched to customers in monday.com, how the flow handles partial payments, refunds and subscriptions that change mid-period, and what happens when an event cannot be matched. An integration that silently misses payments produces a wrong customer picture that nobody notices until the customer gets in touch. That is why we build with logging and alerts from the start, and manage the integration as the process or systems change. The integration requires a Stripe account where you can create restricted API keys.

What to decide before you build

An integration is never better than the process it automates. These questions determine whether it works in practice:

  1. How are customers matched? Email address is the most common, but the same company can pay with several addresses. A customer number stored in Stripe's metadata is the most reliable.
  2. Which events should come in? Completed payments, failed payments, new subscriptions, cancellations and refunds. Not all of them matter equally to every role.
  3. What should happen on a failed payment? Stripe often retries on its own. Decide when a task should be created, for whom and what happens if the payment never goes through.
  4. Should monday.com create anything in Stripe? Customers and invoices from the deal give the sales rep control, but require the details in monday.com to be complete and someone to own the price list.
  5. What happens when something goes wrong? A good flow logs every run and flags when a payment could not be matched, instead of silently skipping it.

How Stripe, monday.com and the finance system share responsibility

Stripe takes payment, monday.com holds the customer picture and the finance system does the accounting. The integration to monday.com does not replace the accounting of Stripe payouts, which is usually handled through a separate integration to Fortnox, a Swedish accounting system, or Visma Net. That means the same payment can show up in two places with different purposes: on the customer in monday CRM so the sales rep can see it, and in the accounting so it is recorded correctly. If you handle tickets from paying customers, monday service is a good fit for linking tickets to the payment history. If you invoice larger deals from the finance system instead of through Stripe, we cover that integration in monday.com and Fortnox. You can find more integrations under all integrations.

Straviont builds the integration

We are an official monday.com partner and certified CRM specialists with monday.com, and we build integrations between monday.com and payment and finance systems in Make. Frequently asked questions

Can monday.com be connected to Stripe?

Yes. monday.com has a built-in Stripe integration that brings payment events onto a board, and more advanced flows are built in Make or Zapier or through custom code against Stripe's API. The integration can add payments to the right customer, create tasks on failed payments and create customers and invoices in Stripe from monday.com.

What does monday.com's own Stripe integration do?

It is connected with an API key from your Stripe account and creates items on a board when events happen in Stripe, for example a completed payment. It does not match against existing customers and creates nothing in Stripe.

Can failed payments become tasks in monday.com?

Yes. When a card payment or subscription renewal fails in Stripe, the integration can create a task for whoever owns the customer and change the customer's status, so the problem is followed up before the subscription is canceled.

Can monday.com create invoices in Stripe?

Yes. A won deal in monday.com can create the customer in Stripe if missing and send an invoice with card payment. When the invoice is paid, the status is written back to the deal in monday.com.

Does the integration replace the accounting of Stripe payments?

No. The integration to monday.com is for the customer picture and follow-up. The accounting of payouts and fees from Stripe is handled through a separate integration to the finance system.

What do we need in Stripe to connect the systems?

A Stripe account where an admin can create API keys. Use restricted keys that only give access to what the integration needs.
