monday.com and Calendly: how the integration works

How to connect monday.com to Calendly: booked meetings become leads and activities in monday CRM, cancellations sync and reps stop retyping details.

Yes, monday.com can be connected to Calendly. With the integration, a meeting booked through Calendly becomes a lead or an activity in monday CRM with name, company, email and the answers to the booking questions in place, the rep who got the meeting becomes the owner, and cancellations and reschedules show up in monday.com without anyone moving things by hand. monday.com has no native Calendly integration, so the integration is built in an integration platform like Make, around how your company works. This article covers what the integration does, how it is built and what to decide before you get started.

Example 1 · Booked meeting becomes a lead
  1. Someone books a meeting through Calendly on your website
  2. Router · Is the email address already in monday CRM?YesThe meeting is logged as an activity on the contactNoA lead is created from the booking details
  3. The rep who got the meeting becomes the owner

The lead is in monday CRM before the meeting starts, with company, role and the answers to the booking questions. The rep never has to copy details from the calendar invite.

Example 2 · Cancellation
  1. The customer cancels in Calendly
  2. The activity in monday CRM is marked as canceled
  3. The rep gets a follow-up task

A canceled meeting does not quietly disappear from the calendar. The rep gets a task to reach out, and the lead keeps its place in the pipeline.

Example 3 · Follow-up after the meeting
  1. The meeting time passes
  2. The integration creates a follow-up task with a due date
  3. The rep records the outcome on the lead

Every meeting gets a follow-up, and the manager can see how many booked meetings moved forward without asking around.

Example 4 · Customer meeting in the project
  1. The project manager sends a Calendly link from monday.com for the kickoff meeting
  2. The customer books a time
  3. The meeting is added to the project timeline

The customer picks the time, and the project gets the meeting as a milestone with the right date without emails going back and forth.

The flows above are only examples of how it can work. Every integration is built around your process: which steps to include, what should happen in each situation and who is responsible for what.

Short answer

There is no button that connects monday.com and Calendly, and monday.com has no native Calendly integration in the Integrations Center. The integration is built in Make or Zapier, which both have apps for Calendly and monday.com, or with custom code against the Calendly API. The flow starts from Calendly events: a meeting is booked, rescheduled or canceled. Zapier is enough to create one item per booking. Make is a better fit when the flow needs to match existing contacts, set the right owner and handle cancellations, which is what most sales teams want. Calendly needs a paid plan to send events to the platforms.

What the integration can do

Here are four common examples. Your integration can do more, less or something entirely different, depending on how you work.

01Booking becomes a lead or activity

When someone books through Calendly, a lead is created in monday CRM, or an activity on an existing contact. Name, company, email, meeting time and the answers to the booking questions come along, and the integration matches on email address so the same person is not added twice.

02The right rep becomes the owner

If you use Calendly to distribute meetings across several reps, whoever got the meeting becomes the lead owner in monday CRM. If the booking came through a personal link, that person becomes the owner.

03Cancellations and reschedules

If the customer cancels or reschedules, the activity in monday.com is updated, and the rep can get a task to follow up. The pipeline shows what actually holds.

04Meetings in projects and delivery

Booking links can be used for kickoff meetings, training sessions or support slots, and the meeting is added to the project or ticket in monday.com with the right date.

Why connect monday.com and Calendly?

  • The lead exists before the meeting. The rep walks into the meeting with the company, role and booking answers in front of them, not an empty row in the CRM.
  • No retyping. Details the customer already entered in the booking do not have to be entered again.
  • The pipeline is accurate. Canceled and rescheduled meetings show up in monday.com, so the forecast is based on what actually holds.
  • Follow-up becomes the rule. Every booked meeting gets a follow-up task, and leadership can see how many meetings lead somewhere.

How the integration is built

There are three ways to build it, and which one fits depends on how advanced the flow is.

OptionBest whenKeep in mind
ZapierA simple one-way flow, for example every booking creates an item on a boardQuick to get started, but limited when the flow needs to match contacts, set an owner or handle cancellations
MakeFlows with conditions and several steps, for example matching existing contacts, assigning the owner based on who got the meeting, and follow-up tasksPowerful and flexible, but requires a well-designed flow: how booking fields map to columns in monday.com, how duplicates are avoided and how errors are caught
Custom code against the Calendly APILarge volumes or unusual requirements, for example custom booking pages that pull available times from CalendlyThe most flexible, but requires someone to own and maintain the code and the webhook subscriptions

For most companies, Make is the right choice, but the platform is just the tool. What determines whether the integration holds up is how it is built: how the booking details map to lead, contact and activity in monday CRM, how people are matched so you avoid duplicates, how the flow handles reschedules so you do not get two activities, and what happens when something goes wrong. That is why we build with logging and alerts from the start. Calendly sends its events through webhooks, which require Calendly's Standard plan or higher, and the same requirement applies to using Calendly in Zapier.

What to decide before you build

An integration is never better than the process it automates. These questions determine whether it works in practice:

  1. Which booking types should be connected? Sales meetings, demos, kickoff meetings and support slots often belong on different boards. Decide per booking type.
  2. What should a booking become in monday.com? A new lead, an activity on an existing contact or a milestone in a project. Also decide what happens when the person already exists.
  3. How are people matched? Email address is the usual choice. Decide what happens when the address is unknown, or when the company exists but the person does not.
  4. Who becomes the owner? The person who got the meeting, the contact owner or a fixed person per booking type.
  5. What happens when something goes wrong? A good flow logs every run and flags when a booking could not be created in monday.com, instead of silently skipping it.

Calendly as the entry point to monday CRM

Calendly is often a customer's first contact with sales: the button on the website, the link in the email signature or the slot booked after a webinar. That makes the connection to monday CRM a question of where the pipeline starts. Bookings that land straight in the CRM, with the right owner and follow-up, give you a pipeline you can trust from the first step. The same principle applies to delivery: kickoff meetings and training sessions booked through Calendly can be added to the project in monday.com work management. How monday CRM compares with a separate sales system, and what that means for integrations like this one, is covered in monday CRM or a separate sales system. If meetings are also logged through email, it is worth looking at how this fits with monday.com and Gmail or Microsoft Outlook, so the same meeting does not show up twice.

Straviont builds the integration

We are an official monday.com partner and certified CRM specialists with monday.com, and we build integrations between monday.com and sales tools like Calendly in Make. Frequently asked questions

Can monday.com be connected to Calendly?

Yes. monday.com and Calendly are connected through an integration platform like Make or Zapier, or with custom code against the Calendly API. monday.com has no native Calendly integration. The integration can create leads and activities in monday CRM when meetings are booked and update them when meetings are canceled.

Can a meeting booked in Calendly create a lead in monday CRM?

Yes. When someone books, the integration creates a lead or an activity in monday CRM with name, company, email, meeting time and the answers to the booking questions. If the person already exists, the meeting is logged on the existing contact.

Do cancellations and reschedules sync?

Yes. Calendly sends an event when a meeting is canceled or rescheduled, and the integration updates the activity in monday.com and can create a task for the rep.

Which Calendly plan do we need?

Calendly sends events to Make and Zapier through webhooks, which requires the Standard plan or higher. The integration cannot be built on Calendly's free plan.

Can monday.com send Calendly links automatically?

Yes. An automation in monday.com can send an email with the rep's or team's booking link when a lead is created or a status changes. The booking itself is then picked up by the integration.

Should we choose Make or Zapier?

Zapier is enough for a simple flow where every booking becomes an item. Make is a better fit when the flow needs to match existing contacts, set the right owner, handle cancellations and log what happened, which applies to most sales teams.

Next steps

Start by describing what should happen from the moment a meeting is booked until it has been followed up: which booking types you have, what they should become in monday.com and who is responsible. From there, building it goes quickly. See also all integrations we build with monday.com. If you want help, you can book a free mapping session and we will go through it together.
